    Politly warning letter for non payment client

    Hi guys,

    We don't want to be rude to our customers who is delay on payment. How would you write some politly warning email to your clients. if you have time can you post some words that how would you write. I really appreciate.

    What I do is saying "We remind you that your payment day was x" then I say we give you x days to pay before we begin to charge a late fee off x. Then I say after x days your accoun will be suspended... and after x it will be terminated.

    Dear Name,

    Our record shows that the payments for your hosting account is overdue. You could have probably missed the payments due to your busy schedule.

    It would be appreciated if you could make the required amount of $xx within x days to avoid disruption in service.

    Should we not receive the payments after x days, your account would be suspended. A reactivation fee of $x is required to uplift the suspension (or reconnection of service)

    If the fees are still not settled, a final reminder email would be sent before your account will be terminated.

    We seek your full co-operation and understanding in the above matter.

    For billing enquiries, please contact the billing department at billing@blahblahblah.com


    I'll also add something like, "do email us if you find difficulties in making the payments"

    One thing though busy schedule may be considered rude apart from that good....

    In order to be formal don't say that but say:
    The payment was probably missed due to a busy schedule.

    This is a passive sentence.

    It would be appreciated if you could make the required amount of $xx within x days to avoid disruption in service.
    In this case you should say: We would appreciate if you could...

    Should we not receive the payments after x days, your account would be suspended.
    I would say: Should we not receive the payments after x days, we will forced to suspend your account.
